Pursuant to and for the purposes of Article 13 of Regulation (EU) No. 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data, as well as on the free movement of such data (General Data Protection Regulation, hereinafter also referred to as the “Regulation” or “GDPR”), repealing Directive 95/46/EC, we inform you that the personal data voluntarily provided by you to Fondazione UniverMantova will be processed in compliance with the current legislation on personal data protection and, in any case, in accordance with the principles of confidentiality inspiring the Foundation’s activities.
1. DATA CONTROLLER
The Data Controller is Fondazione UniverMantova (VAT Number and Tax Code 01987230206), with registered office in Via Scarsellini, 2 – 46100 Mantova, Italy, Tel. +39 0376 286201 Fax +39 0376 286291, email: amministrazione@unimn.it (hereinafter also referred to as the “Foundation” or “UniverMantova”).
2. PERSONAL DATA
Personal data means any information relating to you and capable of identifying you, including the categories referred to in Article 9 of the Regulation, known as “special categories of personal data”, such as data relating to health, religious or philosophical beliefs, racial or ethnic origin, trade union membership, political opinions, biometric and genetic data.
Specifically, the processing concerned will involve the following personal data: first name, surname, email address and educational background (hereinafter referred to as the “Data”).
3. PURPOSE OF THE PROCESSING
The processing of your personal data will be aimed at direct marketing activities carried out by UniverMantova. This includes sending newsletters, promotional material, commercial and/or advertising communications relating to orientation days, conferences, educational, cultural or commercial events offered or promoted by Fondazione UniverMantova through automated email systems, postal mail, operator-assisted telephone calls and other informational material.
4. LEGAL BASIS OF THE PROCESSING
The processing of the Data for the purposes indicated in point 3 is based on your specific consent, which you are free to provide or withhold and which may be withdrawn at any time.
5. METHODS OF PROCESSING
Your Data will be processed using appropriate paper, electronic and/or telematic tools in compliance with the applicable regulations concerning personal data processing, adopting suitable security measures to ensure the security and confidentiality of the data.
The processing of your Data will also be managed by personnel specifically trained and instructed for this purpose.
The sending of commercial and/or advertising communications will be managed through communication platforms used for sending newsletters. Following your consent to receive communications, your identifying data will be stored on their servers. For further information, please refer to the privacy policy available at inginf.unimn.it.
6. COMMUNICATION AND DISCLOSURE OF DATA
Your Data may be communicated to specifically identified parties. In particular, within the limits strictly relevant to the purpose indicated in point 3, your Data may be communicated to:
- persons within the Foundation specifically authorized to carry out activities related and instrumental to the management of the requested services;
- subjects providing services for the management of information systems and telecommunications networks, including email services, newsletters and website management, as well as third parties collaborating with the Data Controller for direct marketing activities.
The subjects belonging to the categories listed above will act either as data processors or as independent data controllers. The updated list of data processors is available at the registered office of the Data Controller.
7. DATA RETENTION PERIOD
Your Data will be retained for a period not exceeding the achievement of the purposes for which it is processed, in full compliance with the storage limitation principle provided for by the Regulation.
Specifically, your Data will be retained for the entire duration of the newsletter service until consent is withdrawn.
8. RIGHTS OF THE DATA SUBJECT
With reference to your Data, you have the right to request from the Foundation, according to the methods provided by the Regulation:
- access to your Data, where applicable;
- rectification of inaccurate Data and completion of incomplete Data;
- erasure of Data for the reasons provided for, such as when it is no longer necessary in relation to the purposes indicated above or is not processed in compliance with the Regulation;
- restriction of processing in the cases provided for, such as when the accuracy of the Data is contested and verification is necessary;
- data portability, namely the right to receive your Data in a structured, commonly used and machine-readable format and to transmit such Data to another controller;
- objection to processing, where applicable.
Please note that the sending of newsletters may be interrupted at any time by selecting the “unsubscribe” option available at the bottom of each newsletter received. From that moment onward, you will no longer receive newsletters from Fondazione UniverMantova.
The platforms will nevertheless retain a list of unsubscribed users in order to prevent forced re-subscription to the newsletter service. Should you wish to be permanently removed from such list as well, please contact the Foundation according to the methods indicated in point 9, and the Foundation will manually proceed with the deletion.
9. METHODS FOR EXERCISING RIGHTS
You may exercise the rights referred to in point 8 through the following methods:
- by calling +39 0376 286201;
- by writing to Fondazione UniverMantova, Via Scarsellini, 2 – 46100 Mantova, Italy, to the attention of the Administration Office;
- by sending an email to amministrazione@unimn.it.
The response time is one (1) month, extendable by two (2) additional months in particularly complex cases. In such cases, the Foundation will nevertheless provide at least an interim response within one (1) month.
The exercise of rights is generally free of charge. Fondazione UniverMantova nevertheless reserves the right to request a contribution in the event of manifestly unfounded or excessive requests (including repetitive requests). Fondazione UniverMantova also reserves the right to request information necessary for the identification of the applicant.
10. COMPLAINT
If you believe that the processing of your Data violates the provisions of the Regulation, you have the right to lodge a complaint with the Italian Data Protection Authority or alternatively bring proceedings before the competent judicial authority.
11. TRANSFER OF DATA ABROAD
Your Data will be stored at the Foundation’s premises and on servers located within the European Union.
For operational requirements strictly connected with the management of marketing services, your identifying data may also be communicated to suppliers located in third countries.
Transfers to countries outside the EU, in addition to cases where adequacy decisions by the European Commission exist, will be carried out in such a way as to provide appropriate safeguards pursuant to Articles 46, 47 or 49 of the Regulation.
12. PROTECTION OF MINORS
According to internal company policy, Fondazione UniverMantova does not process data relating to minors under the age of 14.
Fondazione UniverMantova shall not in any way be held responsible for any false declarations provided directly by the minor during the submission of personal data.
Should the falsity of declarations made by the minor be ascertained, the Data Controller will promptly proceed with the deletion of all personal data relating to the minor.
13. AUTOMATED DECISION-MAKING PROCESSES
Your Data will not be subject to processing through automated decision-making processes.
14. UPDATES
This privacy notice applies from the moment of its publication. In order to best satisfy any informational needs regarding privacy matters and to comply with developments in the applicable legislation, this notice may be subject to updates and amendments.
